GENERAL CONDITIONS AND CONTRACTUAL RELATIONS

Congress Engineering EOOD operates entirely to the benefit of its customers and partners offering Complex Conference Solutions including:

I. Complex event organisation– includes meeting and accommodation of guests, rental of hall at hotel or business centre, rental of equipment (for simultaneous/consecutive interpretation, sound, presentation audio and video equipment), stage design project for the relevant event, selection of translators according to the subject of the event, translation of presentation materials, photographic services, office equipment and services, transport, organization of short excursions, restaurant booking, choice of menu, as well as catering service at random places.

All services to be provided are discussed with and described with a Congress Engineering EOOD organizer in a draft plan to be approved by the customer. After it is approved, the draft plan shall have the validity of a contract between the parties.

II.Rental of professional technical equipment– The company works and offers own professional equipment for all types of conference events meeting all European and world standards.

Congress Engineering is entirely and solely responsible for the equipment it provides. In the cases in which the customer envisages a combination with other equipment, it shall have to be serviced by a technical specialist responsible for the relevant equipment. Congress Engineering does not work with equipment from another source, nor does it accept to be liable for its.

Each offer is valid until the end of the current year, except in the cases where another different time-limit is mentioned.

Drafting of offers require the customer to provide the following information about the relevant event: the date, place (hall), initial and final hour of the event, furnishing of the hall, number of participants, technical configuration, number and type of foreign languages, subject of event, programme, materials – presentations, reports… as well as other specific requirements where necessary.

All confirmed and unconfirmed orders for the next week (Monday through Sunday) have to be received in writing by 4:30 pm every Friday of the week by e-mail or fax.

After the customer approves the negotiated offer, it shall have the binding force of a contract between the parties.

Orders of translators for simultaneous/consecutive interpretation should be submitted at least one week before the event or earlier. The aim is to provide interpreters selected according to the subject of the relative event. In case of cancellation of already ordered translation services, 100% of the negotiated sum shall be paid.

The final price of the Congress Engineering offer includes rental, mounting/ dismantling of technical equipment, translation and other services, as well as transport costs.

Congress Engineering shall be obligated to provide, mount and test the commissioned equipment one hour before any event.

Ordering technical maintenance for an event is advisable.

Otherwise, the customer shall be obligated to cover the costs relevant to lacks or damages caused during use of rented equipment.

After the completion of each event, Congress Engineering shall issue an invoice to the customer for payment of the agreed sum by bank transfer to account of the company within five workdays. In case of delay of payment, the customer shall be liable to 2% damages for each day in arrears.

III. Sale of technical equipment – in its capacity of official representative of a number of European companies for Bulgaria, Congress Engineering can deliver, sell and mount the necessary equipment. In the case of large projects, a concrete design and a contract for delivery and mounting is signed.

– At the request of customers, the company’s technical department draws up an offer with deadlines for delivery and mounting. This is sent to the customer for approval and confirmation in written form by e-mail or fax. To this end, the customer should provide an architectural plan of the building or the relevant premises, as well as other specific requirements as required. The time-limit for delivery is valid after the advance payment of the sum according to the approved offer.

Where the services of Congress Engineering are used repeatedly, the company offers contractual relations with the customer including additional discounts and preferential treatment concerning each event.
